One portal instead of a dozen systems

Aftercare, finance, estimating, health and safety and project documents now sit in one company portal, connected to the finance system and SharePoint, with AI where it saves the most time.

Each department at ROCMEP had its own spreadsheet, inbox or system: aftercare defects, supplier invoices, subcontractor quotes, incident reports and project documents.
Finance runs on 4PS over Microsoft Business Central, and matching supplier invoices to purchase orders was a manual, line-by-line job.
- One portal with sign-in and roles, covering aftercare, estimating, finance, health and safety, scope of works and company assistants.
- Invoice processing: AI reads the supplier invoice, matches it to its purchase order line by line, highlights price and quantity differences, and submits it to the finance system with a full audit trail.
- A connection to the finance system for purchase orders, receipts, vendors and posting, and to SharePoint for project documents.
- Assistants that answer from the company's own data and documents, with sources, and draft emails on request. The same assistants are being piloted in Microsoft Teams.

The portal has been live since August 2026, with aftercare in daily use and invoice processing in testing with the finance team.
Over 1,600 automated tests and AI evaluations run against every change.
Planned maintenance scheduling and AI-assisted RAMS, both proposed to ROCMEP.
